That single sentence is the whole reason Copilot rollouts stall. It is not a reason to avoid it — it is a reason to do the data work first. We get your tenant ready, pick the two or three uses that actually save time, and measure whether they stuck.

Why the first attempt didn’t work.

Licences are not a rollout. Without two named tasks per team, a prompt or two that works, and someone to show people — a Copilot licence is a button nobody presses.

Copilot honours existing permissions exactly. If a site is shared with ‘everyone in the organisation’, Copilot will happily summarise it. An oversharing review and sensitivity labels answer that question properly, in writing.

The rollout

Assess, identify, implement securely, train and measure.

Assess

Where the repetitive work is, and what your data looks like. A readiness score with the specific blockers named.

Identify

Two or three tasks per team where the time saved is measurable — meeting recaps in Teams, first-draft proposals, inbox triage, spreadsheet summarisation. Not fifty.

Implement securely

The readiness work above, then licences assigned to a pilot group who were chosen because they will use it, not because they asked loudest.

Train and measure

One short session per team on the two things that help them. Then check at thirty and ninety days: usage, and whether the task got faster. If it did not, we say so and hand the licences back.

It is not good at everything

Copilot is strong at summarising, drafting and finding things across content you already have. It is weak at anything requiring precision from a system it cannot see — your ERP, your practice software, your job costing.

Some teams should wait

If a department’s data is a shared drive of twenty-year-old folders, the return on cleaning that up first is higher than the return on a licence. We will sequence it that way.

Copilot Chat is often enough

For many roles the included Copilot Chat covers the actual need. We will not sell you a per-seat licence for someone who wanted a better search box.
